Vendor Policies

Vending space is sold on a first paid, first served basis.
Space is limited. Reserve as far in advance as possible.

1. We're happy to introduce two options for vendors at our February 2008 show: Standard six-foot table top displays or 10 x 10 booths. Six-foot table top displays are $175 each. 10 x10 booths are $425 each.

2. Exact locations within the vendor rooms are on a first paid, first served basis. We will not be able to guarantee the location of your table.

3. Vendors purchasing 10 x 10 booths will receive electricity at no extra charge. Additionally, 10 x 10 vendors are allowed to hang signage on the wall behind your booth. Vendors will be responsible for any extension cords or other necessary supplies needed to get electricity to your booth.

4. Electricity for six-foot table top displays is an additional charge of $50 per table. Pipe and drape is also available for $60 per 6 feet. If you will require either of these options, please be sure to add them to your shopping cart. Vendors are allowed to bring their own pipe and drape or other backdrop material. However, these items must be below 8 feet in height and must not interfere with adjoining vendors. Vendors with six-foot table top displays will be responsible for any extension cords or other necessary supplies needed to get electricity to your table from the paid electrical source.

5. Phone and DSL lines are available at an additional charge via Hilton DFW Lakes. Please contact the hotel directly to make arrangements.

6. Each vendor will receive TWO (2) vendor passes. Additional vendor passes can be purchased at the reduced rate of $20 each. Celebrity Party passes are not included nor will they be discounted. Any vendor wishing to attend the Celebrity Party must purchase a Celebrity Party pass.

7. Dealers are solely responsible for the actions of their workers, volunteers, etc. and Texas Frightmare Weekend will not be held accountable.

8. Vendors are responsible for charging Texas State sales tax and reporting sales to the State of Texas. Texas Frightmare Weekend will not be held responsible for vendor failure to collect, report, and submit sales tax charges.

9. Vendors are not allowed to share space. Each vendor must pay for his or her own space.

10. Texas Frightmare Weekend does not endorse any vendors or exhibitors beliefs, actions, views, merchandise or exhibits. Vendors or exhibitors are their own business entity and do not represent Texas Frightmare Weekend. No graphic nudity, pornographic material, drug paraphernalia, bootleg merchandise or weapons of any kind will be permitted at the convention. (Sales of prop weapons are permitted, but must be boxed and taped at the time of purchase.)

Any vendor found doing so will be immediately removed from the show and banned from future events. Vendors will be accountable for actions taken against them or their workers, volunteers or etc. Texas Frightmare Weekend and Hilton DFW Lakes will not be held responsible for any violation of this rule.

11. All vendor spaces must be manned at all times. Texas Frightmare Weekend will not be held responsible for loss or damage to vendor property.

12. All vendors and exhibitors acknowledge that Texas Frightmare Weekend, its employees, workers and volunteers; and Hilton DFW Lakes employees and agents will not provide or maintain insurance coverage for vendors or exhibitors persons or property and it is their sole responsibility to obtain insurance covering such loss. Any damage or injury to persons or property caused by any vendor/exhibitor or their workers, employees or volunteers will be the sole liability of the vendor or exhibitor and Texas Frightmare will not be held responsible in any way.

13. Any props, pipe and drape, signs, merchandise racks or other free standing equipment must be contained within the vendors purchased space and must not block other vendor space or exits as deemed necessary by the hotel and Texas Frightmare Weekend staff.
